  1. JOB TITLE

If the PII to be destroyed is in hard copy form, put it in a secure container designated for the disposal of PII, or otherwise destroy the information in a manner that precludes its reconstruction, such as shredding.

 

If the PII to be destroyed is in electronic form, delete it or overwrite it using overwriting software that replaces the information previously stored on the media with a predefined set of random meaningless date.

 

  1. Disposing of PII

Secure hard copies in a locked desk, locked office, or locked cabinet or container.

 

Protect PII in a LAN, desktop hard drive, or database with the appropriate access controls (unique user ID and password at a minimum)

 

Protect PII on the portable electronic device with the appropriate access controls (unique user ID and password at a minimum). PII on portable electronic devices must be encrypted.

 

Protect PII on the workstation with the appropriate access controls (unique user ID and password at a minimum).

 

Documents (Hard Copy or Electronic, including Data Files, Spreadsheets, Databases, etc.). Put the PERSONAL INFORMATION legend on the initial page and on all subsequent pages that contain Personal Information. For existing hard copies of Personal Information, the legend may instead be applied to a locked container storing such information. If the document is in electronic form (including Web pages), put the legend at the top of the document so that the viewer does not have to scroll to see the legend. Apply Sensitive Information ion Labels when available. Note: Include the legend at least once in the body of an electronic document if the document’s headers are not always visible. Some applications (such as Microsoft Word and Excel) have views that do not present information placed in the document header. In these cases, the legend also should appear in the body to avoid the possibility of viewing the document without the legend being visible.

If PII needs to be sent via fax machines, Staffing Agency/Contract Employee shall use a secure fax machine (one that provides point-to-point encryption of the PII).

 

If PII needs to be sent via the public mail, Staffing Agency/Contract Employee shall properly seal the package or container. Do not put the legend on express mailers or similar packaging used to convey Personal Information through TRC mail systems.

 

  1. Storing PII

Staffing Agency/Contract Employee, in the course of supporting this Subcontract may have access to and/or obtain Personally Identifiable Information/Personal Information (PII). PII is defined as: Any information that permits the identity of an individual to be determined. PII includes only that information which is collected for the purposes of conducting official company business, including customer PI.  Staffing Agency/Contract Employee shall properly identify, effectively manage, and diligently protect all such PII.

 

The legend “PERSONAL INFORMATION” shall be applied to all PII by the originator when it is created, or by the individual accessing existing information.

 

Access to PII should be restricted to Staffing Agency/Contract Employee who have proper authorization and a need to know the information to carry out their assigned responsibilities.

 

  1. Transmitting PII

PII needs to be sent via email, Subcontract shall encrypt any emails that contains PII. Subcontractor will also put the PERSONAL INFORMATION legend in the subject line of the message. The legend can go anywhere in the subject line, provided that the recipient can see the legend before opening the e-mail message. Put the legend at the beginning of the e-mail message and on any attachment that includes Personal Information.

Mileage when using personal vehicle will be reimbursed using the U.S. General Services Administration POV Mileage.   For 2021, the rate is $0.56 per mile.  https://www.gsa.gov/travel/plan-book/transportation-airfare-pov-etc/privately-owned-vehicle-pov-mileage-reimbursement-rates

 

If non-local travel is required, it will require TRC Program Manager prior written approval.  Staffing Agency shall be reimbursed only for necessary, reasonable, and actual travel expenses for transportation, lodging, meals and incidental expenses only to the extent that they do not exceed the maximum per diem rate in effect at the time of travel, as set forth in the United States Federal Travel Regulations for the area of travel authorized under this Agreement. Air travel shall be reimbursed for coach class only. Lodging expenses are reimbursable only where incurred from establishments serving the general public.  All travel expenses will be billed as a direct pass thru without benefit of any burden such as G&A or Fee.  An expense report must include receipts for travel expenses (mileage, meals, hotel and incidental expenses) and must be sent to TRC AP for processing.

WORK SCHEDULE

  • Candidate is to work 40 hours a week.  
  • Candidate may be required to work an extended work week or as necessary to support the program schedule.  The Staffing Agency shall submit requests for authorization to work overtime prior to performing any overtime. 
  • Any hours over 40 hours a week must be preapproved in writing from TRC Manager.  All written approvals must be submitted with that week’s timesheet in order for TRC to pay for those hours over 40 hours a week. 
  • There is NO overtime-premium provision under this Job Requisition.  All hours will be billed at the straight time (direct labor hour) rate.
  • TRC observes customer holidays.  TRC will not pay Staffing Agency for these holiday hours.

 

PERIOD OF PERFORMANCE

  • The period of performance is from award date through September 2021 with an option to extend.
  • TRC will have the right to hire the subcontractor as a TRC employee after six calendar months or 1040 hours whichever comes first at no additional cost to TRC

TRC will provide the required computer equipment to perform their work. TRC will not provide printers. Equipment supplied by TRC is to be used for business purposes and will be maintained by TRC. An inventory of all TRC IT equipment received by each candidate will be provided and candidates receiving IT equipment agree to take appropriate action to protect the items from damage or theft. Upon termination of assignment, all Company IT equipment will be returned to the TRC. Consistent with TRC’s expectations on information security, candidates must adhere to all Company policies for acceptable use and protection of Company equipment, systems, networks, and information. Candidates are responsible for securing computing equipment, protecting logged-in computers from accidental or intentional misuse, and using extra care when handling Company and customer proprietary and confidential information, in both digital and paper forms. All measures should be taken to ensure that the Company is not unreasonably exposed to cybersecurity threats or loss of information. Candidates are prohibited from using publicly accessible wi-fi when working on TRC computer equipment. USB devices will be blocked on all TRC computer equipment. Candidate will be responsible for securing an adequate internet connection (speed, security, and bandwidth) and phone service to effectively perform the essential duties of the job. Phone service can be cell service. Internet and phone service are at the candidate’s expense. Candidates will be responsible for maintaining their home offices so that they can accomplish their work in an efficient, safe, and expeditious manner. TRC will not be responsible for costs associated with the setup of the candidate's home office to include remodeling, furniture such as desks, chairs or file cabinets, and lighting or repairs or modifications to the home office space. TRC accepts no responsibility for damage or repairs to candidate-owned equipment.

This position will be virtual while the customer location is closed due to COVID-19.   Once location is reopened, this position will be on-site.

 

WORKING REMOTE REQUIREMENTS

Candidate will work onsite at 247 Industrial Court, Fredericksburg, VA 22408 when the site re-opens.   Onsite is mandatory when site is open.   While site is closed, candidate will work remote. Candidate will also be expected to conduct desk-side visits to clients located in all customer owned district offices (Blue Ridge, Culpeper, Bowling Green and Louisa)

Candidate must have their own transportation and will be reimbursed when required to perform desk-side visits to clients located in all customer owned district offices (Blue Ridge, Culpeper, Bowling Green and Louisa). The reimbursement will be on actual mileage basis (see Section 14 Travel).   All candidates will be required to have a reliable vehicle, valid driver’s license, current auto insurance coverage, and a clean driving record. The Seller staff member will be responsible for maintenance of the transportation vehicle.

· Act as first responder during normal business hours for phone calls and emails to the Service Desk

Performs as first line support for IT requests and may dispatch/assign incidents across the support team when issues cannot be immediately resolved. Coordinate solutions between support staff and customer, and document approaches taken for future use

Provides both Tier1 and Tier2 support on complex or longer?running issues

Enters/maintains/analyzes and audits information entered into incident reporting system, and performs analysis at a macro level to understand patterns, larger issues affecting multiple end?users and identify areas for IT service improvement

Owns a subset of open IT issues, either in a Tier1 or Tier2 capacity, and proactively manages them to resolution

Performs designated business operations responsibilities to ensure accurate and efficient daily completion

This position will also be considered an SME for IOS and MAC related issues.

Helps with other IT related projects to include, but not limited to, PC Build/deployment and accompanying documentation, IT cyber security, server administration, software upgrades and remote technical support
